Terms of Service
These terms apply to club owners, admins and coaches who use onebase. Parents using the parent app are covered by the terms of the club they join, plus the Privacy Policy.
1. The service
onebase is a platform for sports clubs: a backoffice for owners, admins and coaches; a mobile app for parents; a public club page; and the tools our team uses to operate the platform. It is sport-agnostic and a single owner account may operate one or many clubs.
2. Accounts and roles
You sign in to onebase with your Google account; onebase does not keep passwords. You are responsible for the security of that Google account.
The club owner opens the account, is responsible for it, and assigns admin and coach roles. Owners are responsible for keeping access limited to people who need it and for removing people who leave.
Financial reporting (club revenue, balance, payouts and the onebase subscription) is visible to owners only. This is a permission boundary, not a setting.
3. Subscription and fees to onebase
Clubs subscribe monthly, priced by the number of active members across all clubs owned by the same organisation. The first 15 active members are free. Current plans and prices are shown on the pricing page and in your subscription screen.
An active member is a member with status active or trial and a current enrolment, counted as a snapshot on your billing date.
Crossing a plan threshold triggers a notice, never a charge. You have 14 days to upgrade or archive members. After that, the newest members beyond your limit become read-only until you do; safety and parent-facing functions continue for them regardless.
Subscription fees are collected on your billing date, by default from your onebase credit and otherwise from your club balance, as disclosed and consented at signup. onebase only ever deducts the subscription amount and never takes a balance negative. You may also pay by card, virtual account, QRIS, e-wallet or transfer.
onebase credit is a prepayment for onebase services. It is spendable on onebase services only and is not withdrawable as cash. Unused credit is not refunded except where required by law.
Downgrades take effect at the next renewal. There is no mid-cycle refund. Prices may change with at least 30 days' notice; changes apply from your next renewal.
4. Parent payments and payouts
Fees that parents pay to a club flow through onebase's licensed payment partner and are credited to the club's balance. Clubs withdraw to a bank account in the club's name that has passed verification.
Before the first payout the club completes identity verification (KYC), reviewed by onebase staff. onebase may hold payouts where verification is incomplete or where it reasonably suspects fraud, and will say so.
onebase is not a bank and does not hold funds itself; the float is held by the licensed partner. [Licensing structure to be confirmed by counsel.]
5. Members' data and your responsibilities
You decide which member data to collect and you are the controller of it; onebase processes it on your instructions. Collect only what you need to run the club safely.
Registration terms, health questions and emergency contacts are collected through onebase's structured forms. Each consent is separate and separately withdrawable; you may not bundle consents or make photo consent a condition of joining.
You are responsible for the accuracy of your club's public page and for having the right to publish any photo on it. Health data must never be placed in a public page, a message or a shared link.
6. WhatsApp and messaging
onebase does not send WhatsApp messages on your behalf and does not use the WhatsApp Business API. onebase prepares message text and opens WhatsApp on your device; sending is your action. Automated notifications are sent by in-app push and email only.
7. Acceptable use
You may not use onebase to collect data you are not entitled to, to harass members or parents, to publish content you do not have rights to, to attempt to access other clubs' data, or to circumvent the member count.
8. Suspension and ending the service
You may close your account at any time and export your data first. onebase may suspend an account for non-payment (after the 14-day grace), for a serious breach of these terms, or where required by law, and will explain why. Restriction never removes parents' or coaches' access to children's safety data.
9. Liability
onebase is provided as a tool for running a club. onebase is not responsible for decisions the club makes with it, for the conduct of clubs, coaches or parents, or for a coach's response to a medical alert. To the extent permitted by law, onebase's liability is limited to the subscription fees you paid in the twelve months before the claim.
10. Changes to these terms
We may update these terms. Material changes are announced in the backoffice at least 30 days before they take effect. Continuing to use onebase after that date means you accept them.
11. Governing law
These terms are governed by the laws of the Republic of Indonesia. Disputes are settled in the courts of Jakarta Selatan, unless the law requires otherwise.
